An Education Trust in the Hammersmith & Fulham are seeking a PA to support the COO.
As well as providing support to the COO of the Trust, the PA will oversee the reception function and support with financial administration. If you have previous PA experience at c-suite level, with strong organisational and communication skills as well as the ability to prioritise workloads and maintain confidently, this could be a great opportunity for you.
Duties:
- Offer high-quality administrative and secretarial support, ensuring the COO is informed of relevant matters.
- Manage the COO's mailbox, screen calls, and handle correspondence with confidentiality.
- Maintain the COO's diary, coordinate meetings, and manage appointments efficiently.
- Anticipate and solve scheduling problems in advance, ensuring seamless communication with all stakeholders.
- Greet visitors and provide refreshments for all guests and the COO.
- Manage conference, travel, and hotel bookings.
- Make committee arrangements for the trust and take action points at selected meetings and circulate them as necessary.
- Take charge of ordering office supplies, overseeing mail or delivers, reporting facility issues, and ensuring a safe and well-presented office environment.
- Manage the Reception area for the trust, line managing Receptionists, and organizing cover when needed.
- Log and deposit ad hoc cheques, ensuring accurate financial record-keeping.
- Record charity fundraising activities and oversee corresponding payments.
- Ensure compliance with Safeguarding and Health and Safety regulations.
- Attend and assist with occasional out-of-hours meetings and events.
- Coordinate with suppliers, manage bank details, oversee bank account administration, handle ad hoc cheque logging and deposits.
- Monitor and record charity fundraising, ensuring timely payments.
- Manage paper invoices, request electronic versions, and forward them to the relevant people.
- Maintain comprehensive logs of insurance policies, contracts, agreements, trustee interests, and budget holders.
Experience & Skills:
- Minimum 2 years of PA experience.
- Previous trust or charity experience preferred.
- Good typing speed with the ability to use Word, PowerPoint, Excel, Outlook, Office 365 and SharePoint.
- Able to take action points in meetings
- Strong interpersonal, administrative, organisational, and communication skills.
- Excellent command of spoken and written English and an excellent telephone manner
- Efficient workload and time management with attention to detail.
- High level of discretion and confidentiality
- Able to pay close attention to detail, have a high degree of initiative and a flexible attitude
