Purpose of the Role
We are a busy agency team with a fun, supportive and inclusive culture. We are looking for an Office Assistant to join the team. You will play a vital role in supporting daily operations and ensuring a positive and efficient work environment. Day-to-day this involves helping with the running of the Kanga office; supporting with general administration, managing IT requests, and ensuring the office is maintained to a high standard. This is an excellent opportunity for someone who enjoys multitasking and contributing to the overall success of a great and collaborative team.
Responsibilities
General office administrative tasks including:
- Managing office supplies; including stationary, IT equipment/licenses and food orders for meetings.
- Booking couriers, taxis, and general travel arrangements for office staff.
- Answering the office phone and managing the general office email inbox.
- Organising meetings and booking meeting rooms/venues.
- Assisting with setting up systems and onboarding meetings for new joiners.
- Ensuring staff org charts, client facing biographies and photos are up-do-date.
- Assisting with the coordination, recording, and planning of company training and compliance training.
- Liaising with our external IT support team to:
- Have their support in the management of internal systems, such as Microsoft office, Dropbox and Zoom.
- Resolve IT issues for the Kanga team (e.g., email issues / file access issues).
- Submit and coordinate new starter set up requests.
- Managing external contractors for the office such as cleaning contractors, internet provider and our printer supplier.
- Ensuring the general upkeep and tidy appearance of the office.
- Liaising with building management to coordinate any repairs and general office maintenance including fire alarm tests.
- Fire Marshall responsibilities.
- Coordinating with property management for new starter office access and keys.
- Supporting with the organisation and planning of Kanga events.
- Proactively contributing to the culture of the wider agency.
- Other duties as required for the smooth running of the business.
Person Requirements
- Previous experience of office administration.
- Strong administration and communication skills.
- Great attention to detail.
- Ability to multitask and to prioritise tasks, ensuring that all tasks are completed.
- Ability to work using own initiative with a proactive and motivated approach.
- Excellent computer skills (proficient and confident working in MS Excel, Word and Outlook).
- Good basic IT understanding around computer systems and software licensing.
- Confident using and adopting new online systems.
- GCSE or equivalent (minimum English and Maths minimum level Grade C or equivalent).
- Additional administrative or office management training is a plus
