Office Assistant Full Time

AmTrust International are currently looking for a Receptionist/Admin to join part of Runnymede Law team based out of our London Charing Cross office.


The role will be a varied position providing both reception and administrative duties within the office with tasks such as:



Administration



  • Stationery/office supplies – ensure adequate supplies including ink for franking machine, availability of stamps, as well as tea/water cooler.



  • Photocopying and collation of material/bundles – downloading material from multiple sources in a variety of formats.



  • Uploading and sharing material with clients via Dropbox etc. Creating electronic and hard copy bundles for Counsel/clients



  • Copying/downloading incoming discs/USBs and sharing material with client/counsel (e.g. via Dropbox)



  • Downloading/saving/printing disclosure


• Archiving • Dealing with incoming new claims and inputting them onto the case management system – assigning UFNs and passing on for allocation.



  • Making up new files.



  • Maintenance of reception files and forms for fee earners.



  • Ensure conference room and reception area kept neat and tidy and covid clean. Stationery supplies there to be maintained and working.



Reception



  • Primary responsibility for dealing with incoming telephone calls and answer phone messages.



  • Meet and greet clients attending the office.



  • Post – in and outgoing.



  • Review and direct incoming email enquiries/faxes.



  • Booking couriers.
