Executive Assistant / Office Manager

Location: London (hybrid: 3 days a week in office 2 days WFH)
Salary: £55k-£58k per annum depending on experience
Hours: Full Time (37.5 hours per week)

THE ROLE
In this dual role you will ensure the smooth functioning of business/office management services and provide executive level assistance to several senior managers in a busy, dynamic and demanding office environment.
As an Office Manager, you are responsible for overseeing daily administrative tasks, and maintaining an efficient workplace. Simultaneously, as an Executive Assistant, you will provide direct support to high-level executives by managing calendars, scheduling meetings, and handling communication on their behalf.
You act as a gatekeeper, prioritising tasks, and ensuring that the executive's time is utilised effectively. The role requires exceptional organisational skills, attention to detail, and the ability to multitask.
You will create a cohesive and productive work environment, balancing the broader administrative needs of the office with the specific requirements of the executive team as well as supervising an administrative assistant.

Key responsibilities include (but are not limited to):
- To run the office efficiently (with the support of the office assistant) to include being the key point of contact with office service providers including the premises landlord, office equipment and sundry suppliers.
- Coordination of board/trustee meetings (producing agendas, meeting packs, taking minutes, actions, location and facilitation, handling meeting correspondence and other support as needed).
- Support of senior directors including diary management, expense submission and travel.
- Facilitation of Trust wide meetings
- Manage high level client and collaborator events.
- Managing the register of Trust policies and processes.
- Management of Sharepoint
- Responsible for office related communications.
- Formatting presentations and other submissions including use of Powerpoint and In-Design (training of the latter is available if necessary).

Skills and experience
- Significant experience in a similar role, ideally in the built environment
- Excellent written and verbal communication skills
- Proven administration and organisational skills
- Ability to manage complex scheduling
- Adept at working with key stakeholders at all levels
- Ability to convey complex/detailed information in a concise and comprehensible manner
- Strong attention to detail
- Competent user of software applications including Outlook, Word, Excel, PowerPoint,
- Experience of both SharePoint and In-Design an advantage
