Purpose of the post:
To provide General Office & IT Support to the Management Team, Doctors, Health Professionals
Supporting the Admin & IT Lead
Accountable to:
Practice Manager/Assistant Practice Manager
Hours:
Full time is desirable
Salary:
£11.00 per hour, to increase to £11.50 per hour subject to 6 month probationary period.
Job summary
The post holder will be responsible for support within a wide range of administrative and IT duties.
- The Admin /IT Support is responsible for support of non-clinical day to day running of the office & IT procedures
- Maintains and manages all filing and organisational systems for the practice
- To have a thorough knowledge of all Practice procedures.
- To work in accordance of written protocols
- Dealing with patient correspondence
- Registrations of new patients – computer data entry and medical records.
- Ensure building security – have thorough knowledge of doors/windows/alarm.
- Assist in special projects
- To have an understanding of the EMIS clinical and Docman systems
- QOF (Quality Outcome Framework), Enhanced Services and CQRS
- Assist with searches, recalls and audits for chronic disease management, ensuring that recall letters / questionnaires are produced and sent out on time
- Support and work with the clinical team to identify areas for improvement in data quality.
- To support the clinical team in identifying and targeting patients for assessment and treatment
- To support with the coding of all patient clinical documentation and information in relation to QOF
- To extract data in line with CQRS submission deadlines and ensuring this is entered and submitted in a timely manner.
- IT – fault reporting and resolution including requesting new starter login via the online portal.
- Attend staff meetings
- Any other tasks allocated by managers
- Any needs of the practice

- In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, Practice staff and other healthcare workers. They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data
Health & Safety:
The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the Practice Health & Safety Policy, to include:
- Using personal security systems within the workplace according to Practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Reporting potential risks identified

- Discuss with other members of the team how the policies, standards and guidelines will affect own work
- Participate in audits where appropriate
