Systems Administrator – LE5 – London Full Time

Starting Salary: £49,250 - £56,291 per annum

Holding and maintaining an Australian National Security Clearance Negative Vetting Level 2 (NVL2) is a prerequisite for this position. Applicants must therefore either have an existing NVL2 clearance or able to obtain to obtain an NVL2 through holding Australian Citizenship and be eligible and willing to apply for NVL2.

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas.


The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.




About the Position


Working in close consultation with the Senior Management Team this position administers the classified information and communication systems in London as well as providing support with information technology aspects of security management. The position is required to operate with a high degree of autonomy to resolve issues and will contribute to and implement various ICT and security projects.


The key responsibilities of this position include, but are not limited to:



  • Manage the security-classified communications system (software and hardware), including providing technical advice, assistance and training to users and liaising with the London-based Regional Technical Officers and Canberra-based support to identify and resolve system issues in a timely manner.

  • Ensure system security and integrity, including by maintaining accurate communications system access for staff.

  • Develop and implement information security plans, including managing the coordination of tasking, for Ministerial and high-level visits. Manage all aspects of secure communications for Ministerial visits in the United Kingdom, including delivery and maintaining security of secure communications.

  • Manage secure telephone and videoconferencing facilities, ensuring appropriate approvals are in place and venues are secure, providing expert technical assistance, resolving hardware issues and providing training to users.

  • Provide policy advice, training and assistance to system users, maintaining written security and communications instructions, assisting in the facilitation of security clearances and conducting security briefings.

  • Undertake probity checks and security clearances for staff.

  • Undertake security inspections and investigate and report on security breaches, including responding to and resolving system alarms out of hours.

  • Manage adherence with security procedures, including regular safe combination and alarm access changes; maintain duplicate keys register; maintain and update key watcher system; and perform classified equipment custodian duties.

  • Maintain current knowledge of systems and identify opportunities for efficiency improvements in processes and procedures.

  • Provide Electronic Document and Records Management System (EDRMS) support and user training and undertake file sentencing in liaison with Corporate Records Requirements.




Required Qualifications/Experience/Skills



  • Demonstrated in-depth understanding of modern secure information and communications systems administration.

  • Proficiency, expertise or aptitude to learn and understand security risk assessment and compliance processes.

  • Strong organisational and self-management skills.

  • Strong client focus and a demonstrated capacity to assist end-users of wide-ranging ability in a timely and courteous manner.

  • Strong problem-solving skills with an ability to prioritise work and achieve satisfactory outcomes with minimal supervision in a timely manner.

  • Excellent communication and interpersonal skills, including the ability to liaise with a broad range of clientele, collaborate and work productively with others, the ability to research and distil information, write policy and end-user documentation and provide training.

  • Discretion and the ability to exercise good judgment on sensitive matters.

  • Flexibility, reliability, adaptability and the ability to respond to changing work priorities as demand requires, including out of hours.

  • An understanding of or experience working with Australian Government systems and security policies would be an advantage.
