What You’ll Do:
IMG Studios is a premier production centre with state-of-the art studios, post-production and live operations facilities. It houses 4 HD broadcast television studios, 9 production galleries, 3 dubbing suites, 50 edit destinations, 3 radio studios, an award-winning 3D Graphics & Visual Effects team, and one of the largest data centres built specifically for digital media and broadcast in recent times.
We have an exciting opportunity for an Executive Assistant to provide administrative and general executive support to the SVP, Technical and Operations and the SVP, Business Development. Your primary role is to work as the gatekeeper and representative of the SVP’s office, offering a pro-active attitude and contributing to the success of our company. The ideal candidate will have brilliant foresight, excellent organisational skills, and be a great communicator.

Key Responsibilities Include But Not Limited To:
- Being pro-active and pre-emptive in managing the SVP, Director of Technical and Operations and SVP, Business Development’s complex and demanding diaries, having full autonomy in ensuring that all meetings, appointments, and events are scheduled effectively and efficiently, helping to prioritise their days.
- Having the confidence to move their diaries around in an effective manner, arranging meetings with a variety of stakeholders including other members of SLT, Finance, HR, Heads of Department etc. and identifying regular key meetings which need to be attended.
- Act as the primary point of contact for internal and external stakeholders, ensuring that all queries are addressed and resolved promptly and effectively.
- Provide administrative support including drafting correspondence, such as agendas and minutes for meetings, booking travel arrangements, processing expenses and invoices, organising hospitality and supporting projects and events delivered by the SVPs.
- Building strong external and company-wide relationships and identifying key industry events to attend.
- Prepping conference itineraries over the weeks beforehand, including meetings with industry partners/clients across a range of global events throughout the year
- Additional diary management, arranging local and international travel for those VPs reporting directly into the the SVP, Director of Technical and Operations and SVP, Business Development.
- Supporting team and business social and inclusion events throughout the year
- Undertake any other ad-hoc tasks for the SVPs and VPs, as and when required.
- Regular in-person team communication throughout all technical departments
- Managing the email distribution lists where needed
- Meeting room booking and management for both buildings in Stockley Park
- Sending out Communications via email to large distribution lists on behalf of SVPs or VPs
You Will Have The Following Strengths:
- Proven experience in an Executive Assistant position, ideally in a similar role within the media or sports industry
- Excellent oral and written communication skills - there will be regular internal contact with the senior external stakeholders, clients and broadcast partners.
- Proven ability to handle confidential information and exercise discretion
- Proven organisational skills and the ability to prioritise tasks effectively
- An eye for details and the ability to work accurately under pressure
- Experience of managing complex and challenging diaries and travel arrangements
- Proactive and willing to take initiative – must be able to think ahead, and plan in advance of deadlines/requirements.
- Anticipation and identification of potential issues and upcoming tasks, using initiative to solve problems before they arise
- Excellent command of all Microsoft 365 applications
- Timely, accurate and reliable
- Must adopt a flexible approach to changing deadlines and priorities – with an ability to think and act quickly.
- Friendly but professional client facing manner - positive, professional, proactive, diligent with a flexible approach to work, a resilient and calm manner, and always tactful and diplomatic.
- Able to read situations sensitively and intelligently with an understanding of strategic context (knowing when to persist and when not to).
- Ability to work collaboratively and build effective relationships with stakeholders at all levels
- A Discreet, proactive team player who is happy to get stuck in and support multiple people
