Job Description / Position Responsibilities
The Executive Assistant will provide the primary day to day support to the Global CEO of Partners Capital. Responsibilities will include, but not be limited to, the below.
Diary and Travel Management:
- Scheduling meetings for the CEO with key clients, members of the Partner group and other internal or external stakeholders
- Managing complex overseas travel, and associated logistics including flights, hotels and ground travel and ensuring a detailed itinerary is in place
- Liaising with clients’ assistants and ensuring meetings and appointments are reconfirmed where required
- Coordinating the CEO’s diary with other Partners and senior employees
- Proactively scheduling according to priority when time conflicts occur, and communicating changes effectively
- Ensuring the CEO is aligned to the agenda and can be kept on time with meetings
Email and Telephone Management:
- Actively reviewing all incoming emails in order of priority and either responding directly, flagging to CEO to reply personally, or passing to other members of the senior team
- Ensuring all confidential information is treated sensitively and shared appropriately
General Support and Administration:
- Assisting the CEO with formatting and preparation of documents, presentations and communications using Microsoft Office
- Attending various committee meetings, office and/or regional Heads meetings, or ad hoc meetings and taking minutes where required
- Providing ad-hoc support to other members of the Partner group – organising some meetings (particularly where the CEO is attending), handling incoming phone calls, and booking travel
- Ensuring various documents are signed by the CEO, or other members of the Partner group, before any required deadlines
Attributes / Required Skills
- Approximately 10 years, or equivalent, experience within an Executive Assistant, Personal Assistant or Business Operations based role
- Advanced working knowledge of Microsoft Office
- Good qualifications, or equivalent experience; a Bachelor’s degree would be preferred but is not essential
- Able to adapt quickly and proactively to meetings, schedules or travel plans changing at last minute
- A team player who is flexible with supporting the wider Business Operations team where required
- High level of attention to detail and the ability to pick things up quickly
- The ability to interact and build relationships with stakeholders across all levels and regions
- A professional individual who is comfortable working withing a corporate environment as part of a busy and entrepreneurial team
