Office Administrator

We are currently looking for a part-time Office Administrator to work in our busy Knutsford office. As our Office Administrator, you will be the heartbeat of our office, ensuring its smooth operation and creating an environment where everyone can thrive. Your organisational skills and attention to detail will be pivotal in managing various administrative tasks and supporting the team to achieve their best work.

Key responsibilities
1. Manage incoming calls and correspondence with a friendly and professional demeanour.
2. Co-ordinate and schedule meetings, events, and travel arrangements, optimising efficiency and maintaining calendars.
3. Assist in preparing documents, reports, and presentations, showcasing your eye for precision and aesthetics
4. Greet and assist visitors, making them feel welcome and valued from the moment they walk through the door. .
5. Collaborate with HR to onboard new team members
6. Support the team by handling administrative tasks and maintaining accurate records.
7. Contribute to the positive and nurturing work culture
8. Monitor and ensure that the reception area is kept tidy and projects a business-like image
9. In the event of a fire and/or any other emergency requiring visitors to leave the building, to be responsible for ensuring that the visitors book is removed from reception and taken to the outside meeting point
10. Check and sign for deliveries, before informing the relevant member of staff of their arrival
11. Receive and sort daily post
12. Responsible for office management, including, but not limited to, IT support, office service contracts, PAT testing, faults, fire alarm system,
13. Provide office supplies for staff and maintain adequate stocks; task includes ordering new supplies, identifying new suppliers and obtaining the best price within agreed budgets
14. Induct new staff in office procedures for fire and health and safety
15. Process invoices for the office ensuring they are authorised before being sent to the finance department
16. Maintain meeting room and staff holiday diaries
17. Provide secretarial support to directors
18. Contribute to a team environment, sharing ideas to develop and keep up-to-date with strategies for the retention of members
19. Use NFB’s CRM (WorkBooks) to maximum effect, ensuring that engagement, satisfaction and support levels are recorded

This is a part-time role 16-20 hours per week.
