Global IT Manager Full Time

Job Overview


This is a stand alone role, leading and providing global IT support across our three offices (London, NYC, and New Orleans). The main objective being to ensure the smooth running of IT operations, supporting the business and it’s employees to work efficiently and effectively.


Responsibilities


Team Onboarding:



  • Working with the People teams to ensure a smooth onboarding and offboarding process - allocating kit, ensuring all required logins are set up

  • Managing and training for OnePassword

  • Providing an IT induction to all new joiners

  • Software Management:

  • Global managing of other systems, platforms and tools e.g. Monday.com, web hosting, cloudflare, etc. Including number of seats and costs.

  • Responsibility for Google Drive - recommending the format and ways of working, full responsibility for access and sharing permissions.

  • Continuous review of all tools in use to reduce duplication and cut unneeded spending.

  • Hardware Management:

  • Ordering new and refurbished kit

  • Oversight of hardware sell-off

  • Ensure we always have a laptop/asset management doc along with details of warranties + management of ABM


Security Management:



  • Login/device management best practices (single sign-on etc, Gdpr and policies)

  • Regularly review our IT policy to ensure it is kept up-to-date and relevant - in UK and US

  • Conducting regular system audits

  • Identify vulnerabilities, recommend tools, and implement these to prevent future issues

  • Ensure our firewall kept up to date and is sufficient for our business

  • Ensure we maintain our Cyber Security status and upgrade/apply for other such standards

  • Maintenance of security controls, including firewalls and email compliance (i.e. onDMARC)

  • Budget Management

  • Managing and reporting on the allocation of IT budget


Other:



  • Helpdesk for all staff (although this requires minimum time due to the way we work)

  • Ensuring all video conferencing kit is set up and functional in our meetings rooms

  • Setting up al staff meetings - locally and globally

  • Running and sharing regular operation system reports with senior staff when necessary (not happening but does need to be done)

  • Implementation of SLEP policies for useful equipment (e.g. battery replacement on 2017 model MBPs with larger data capacity to continued use)


Websites (BDB and IMC):


Maintenance:



  • Content updates

  • Site maintenance

  • URL, security and caching.

  • Content updates + building of new content

  • Fixing errors caused by other team members doing things without following the established process for site changes

  • PS/AI work to create imagery for websites (when no creative is available or a time crunch.)

  • URL management and procurement


Other:




  • Publication of new pages, posts, and review for SEO/visual consumption of new work

  • Marketing:

  • Paid media for Companion team + creation of all landing pages for both teams

  • SF integrations of URLs for sending of emails + mail merges with full DKIM/DMARC in order to prevent our urls from being classified as spam


Strategic:



  • Provide a written IT Strategy at the end of each year (for the following year) defining monthly projects both UK and US

  • Overseeing and determining timeframes for major IT projects including system updates, upgrades, migrations and outages

  • Identify problematic areas and implement strategic solutions in time

  • Work with Legal and BA team to identify vulnerabilities present in clients requested tools/workflows to ensure our compliance with other clients/governments/regulatory bodies.

  • Identify and recommend blanket equipment “sunsetting” policies as items become unsupported or SLEP options for older equipment with viable service life as a fully functioning bit of kit after refurbishment, especially in conjunction with ESG/B CORP goals.


Skills & Attributes



  • At least 5 years solid IT experience, with some in a stand alone role.

  • Experience of cloud based vs physical servers

  • Experience with cyber security / anti-virus / backups?

  • Experience of creating strategies, policies and procedures

  • Google Suite support and configuration

  • Experience of supporting all hardware and software within a business

  • Excellent communication and organistions skills

  • Proactive approach and problem solver

  • MS qualification or networking qualification

  • Solid knowledge of networking protocols, firewalls, switches and wireless networks.

Solve problems with a curious mind - We operate in the creative industry, and creativity is ‘the use of imagination or original ideas to create something; inventiveness.’ Agencies need to feel more comfortable in solving problems in ways that maybe haven’t been proven before - they shouldn’t always do what worked before. Whether the problem is an internal workflow, a client brief, an operational structure or something else, agencies need to be less afraid to take the more risky path in favour of potentially greater outcomes. If it isn’t broken, still explore changing it.
