Role & Responsibilities:

• To support the project management team and Head of IT in the effective management of IT projects through design, development and implementation as we progress through the IT Roadmap.
The coordinator will support day-to-day project, programme, budgets, governance and administration tasks. The role liaises with people from all areas and levels of the business as well as external teams of contractors, consultants and suppliers. This role will involve helping to coordinate and manage various aspects of a project and will be pivotal in maintaining overall project governance and progress during an exciting and transformational time.

Project Support:

• Assist project managers in producing project documents such as Action and RAID logs


• Ensure effective ongoing management of project documentation and support in the management of project actions and RAID items


• Prepare project finance trackers for costs and maintain them throughout projects


• Assist in the management of project-related invoices and POs


• Assist project managers with contractor and supplier payments


• Attend Project meetings and support with minute and action logging


• Assist with the production of project plans and phase plans


• Support project managers with the scheduling of required project meetings


• Assist in the production and communication of project and programme reporting and status updates

Communication:

• Liaise with all internal and external stakeholders throughout the project lifecycle


• Assist the Business Change Manager and Project Managers with the production and management of communication plans


• Communicate effectively both internally and externally at all levels


• Proactively provide updates on project status to all stakeholders


• Establish and maintain good working relationships with colleagues and external parties

Office Administration

• Assist with the preparation of presentations for meetings


• Set up project meetings (action item meetings, project workstreams)


• Develop and follow internal governance procedures for the management of projects


• Manage purchase orders and invoices for IT purchasing

We have free onsite parking at Apollo Court, as well as a free shuttle bus service that runs frequently from Hatfield Station - just remember to tell the driver ‘Apollo Court’ as the shuttle also drops at Ocado Groups Head Office!
