Job Purpose:
To provide administrative support for a member of the Senior Leadership and the London-based team of DAA2.
Key Responsibilities:
Specific to ML1 (Senior Executive)
Diary Management - managing efficiently schedules and calendars with realistic timescales by planning and scheduling meetings, conferences and related travel bookings
Arranging business trips (flights, hotels, visas) and controlling travel schedules
Handling expense claims, including timely submissions of all expense claims
Organising and preparing meetings with external and internal clients, taking and preparing minutes
General secretarial duties, including collecting and analysing information, drafting and filing communications, letters and documents
For DAA2 Team in London:
Arranging business trips (flights, hotels, visas) and controlling travel schedules
Team Expenses
Arrange client meetings
General Duties and Tasks:
Administration of corporate gifts (e.g. Gifts & Hospitality register)
Organisation of client entertainment (lunches, dinners, corporate events)
Co-ordination of visits from Munich Re colleagues
IT co-ordination (onboarding/ offboarding of new staff)/ local process coordination
Organising training and team meetings
Assist with presentations and marketing material via MR Comms (incl. Powerpoint Pool)
Key Skills and Experience
Advanced Microsoft Office (Word, Excel, PowerPoint, Sharepoint, Forms)
Excellent organisational skills
Good communicator at all levels
Forward thinking – identifies and works to resolve problems
Able to work on own initiative
