Introduction
We are looking for a Medical and Clinical Administrator to join our brand new 12 bed CAMHS service supporting young people between the ages of 12 – 18 years old at Emerald Place Clinic in Charlwood, Surrey due to open end of 2023!
As a Medical and Clinical Administrator, you will be responsible for providing confidential and efficient administrative support to Registered Clinicians and the Clinical Team. From managing their diaries, planning meetings, attending clinical meetings, and taking minutes, typing letters and reports and updating records, you will be able to turn your hand to a variety of admin tasks in a busy fast paced environment.
Your responsibilities will include:
- To support the Consultant/s and their team/s in ensuring all appropriate typing work is efficiently completed, then subsequently dispatched following signature. This will include all letters, reports, summaries, GP and Consultant letters and any other work generated by the Consultant/s and their team/s.Audio typing and/or shorthand typing may also be required.
- To maintain the Consultant/s diary, arranging and organising meetings. If required, deal with medical representatives, making appointments and ensuring the Consultant/s receives relevant information. Meet and greet visiting personnel to the department(s)/consultant(s) or their team/s.
- To receive blood test results and other investigative reports, presenting all results immediately to the medical team/s attention for their appraisal. Ensure results are filed correctly in patients’ notes following any action requested by medical team/s.
- To organise patients notes from the medical records at request/own initiative for the Consultant/s, their medical team/s and/or department staff. Maintain an accurate index of all patients’ notes.
- To co-ordinate and maintain the smooth running of the day-to-day workings of the office, working unsupervised and maintaining own workloads. Regularly monitor stationery levels and maintain an ordered and equipped office, reporting faults as appropriate.
- Demonstrate an understanding of medical terminology and procedures. Take responsibility to self-educate and understand terminology and data. Attend training sessions as required for self-development within the remit of the post.
- Responsible for prioritising the secretarial and administrative workload within set deadlines, accommodating urgent requests as necessary.
- Organise CPA Meetings and CETRs for CAMHS/Adults patients when required and participate in taking minutes of the meetings. Prepare prior to CETRs all the documentation requested by the Panel. Ensure meetings run smoothly and set up conference calls accordingly to situations. Maintain good correspondence by email or telephone with all participants to the meetings, greeting them upon arrival and arrange for any refreshments to be provided for the participants.
To be a Successful Medical and Clinical Administrator you will need:
- Educated to GSCE level or equivalent level of education, training or experience.
- Knowledge of administrative and secretarial procedures to NVQ 3 level or equivalent experience
- IT skills – Microsoft word and office
- Audio typing skills
- Use of medical terminology
- Experience of office/admin systems
- Good written and verbal communication skills
- Good interpersonal skills & telephone manner
