We have an opening for a Jpenese speaking Personal Assistant contract role, reporting to Business support manager who reports the EMEA Investment Banking Head.
Responsibilities
- Main duty to assist Business support manager to Head of GIB/Banking and Business Management with various tasks.
- Provide general administration and secretarial support for senior member of GIB Management including diary management. (Head of Banking's diary under supervision of Business support manager and Head of ECM)
- Responsible for complex travel and other necessary preparations such as visas, entry requirement for business trips for senior members of GIB management.
- Process and handling expenses, invoices, and compliance entertainment requests if applicable for senior member of GIB/Banking management with timely manner.
- Provide team support (mainly travel booking) for ECM.
- Organisation of seminars, conferences and events.
- Liaison and interfacing with external clients and must build effective relationships with those clients.
- Advanced and efficient filing of notes, documents, client meeting logs, business card input on outlook with accuracy.
- Responsible for handling large volumes of correspondence and support Head of GIB/Banking
- Screen telephone calls, enquiries and requests, and handle these when appropriate.
- Meet and greet visitors at all levels of seniority.
- Supply and order of stationery
- Support, where required, the production of documents, briefing papers, reports, and presentations to make sure executives are well prepared for the meeting.
