Job summary
At the United Kingdom Health Security Agency (UKHSA) our mission is to provide health security for the nation by protecting from infectious disease and external hazards. We are a trusted source of advice to government and to the public, focusing on reducing inequalities in the way different communities experience and are impacted by infectious disease, environmental hazards, and other threats to health.
The successful candidate will be part of the Standards Unit developing UK Standards for Microbiology Investigations (UK SMIs). UK SMIs are produced for diagnostic and public health microbiology laboratories, clinicians and commissioners of healthcare services.
The post holder plays a major role in the UK SMIs Unit team as it offers support across the team.
This role is being offered on a full-time basis.
Location
Colindale Avenue, London, NW9 5HT – Hybrid working available, 3 days from home.
The UK Health Security Agency (UKHSA) offers hybrid working – this means that whilst the role will be based in Colindale, there will be opportunities for an element of working from home. UKHSA have office locations across the UK.
The balance between home and workplace working is to be agreed with the line manager, determined primarily by business needs and in line with departmental policy.
Please be aware that this role can only be worked from within the UK and not overseas. Relocation expenses are not available.
Job description
The job holder will be required to carry out the following responsibilities, activities and duties:
- Provision of secretarial and administrative support to all senior members of unit, including recording annual leave and sickness absences.
- Be responsible for monthly Standards Unit meetings including preparing agendas, writing minutes and escalating assigned actions to the Standards Unit team for completion before the next meeting.
- To be a point of contact for the Unit for external and internal staff and its customers and ensure that all correspondence is acknowledged, and urgent matters are passed to another senior member of staff for their attention.
- Personnel duties include arranging interview dates, arranging panel members and distribute relevant paperwork to panel members. Undertake induction of new staff, trainees and others.
- Project manage meetings for the national working groups including devising, coordinating and circulating agendas and collation of relevant papers for national meetings, (minutes, agenda, papers, room booking, catering and post meeting evaluation).
- To contribute to the smooth working of the Unit by providing cover for other staff where possible.
- Organising national and internal meetings
- Ensuring that all files are current and kept up to date.
- Responsible for examining and solving problems arising in the Quality System, which supports the development of UK SMIs, to ensure that the published documents meet the required accreditation standards.
- Support the maintenance of high-quality standards in all aspects of work throughout the unit/department/UKHSA/NHS, undertake audits and write formal reports as required.

Person specification
It is important through your application and Statement of Suitability of 1000 words that you give evidence and examples of proven experience of each of the following criteria:
Essential
- Qualifications equivalent to QCF1 Level 6 or degree; or relevant comparable knowledge / experience.
- Administrative or secretarial experience
- High level of practical experience of data and records management, analysis & reporting.
- Experience of project management.
- Experience of auditing.
- Experience of marketing and liaising with customers.
Desirable
- Proven organisational skills e.g. arranging meetings / travel arrangements.
- Able to liaise with a wide range of UKHSA, NHS & academic professionals.

STAGE 1 – APPLICATION & SIFT:

STAGE 2 – INTERVIEW
This competition will involve an interview via MS Teams.
As part of the process, candidates will be invited to interview which will involve an in-depth discussion of your previous experience and professional competence in relation to the criteria set out in the Person Specification.
