A prominent global professional services company is currently in search of a highly experienced individual to join their team as a Personal Assistant to the Chief Legal Officer of the organisation. The ideal candidate should possess exceptional organisational skills, the ability to manage multiple tasks while maintaining attention to detail, and outstanding communication skills when interacting with colleagues, team members, and senior executives. Maintaining confidentiality, exercising discretion, and handling sensitive matters with professionalism are crucial aspects of this role.
The legal function of the organisation consists of a large legal team of professionals globally, catering to all its brands. This position is based in London, where the Chief Legal Officer is situated.
Key Responsibilities:
Administrative Support
- Manage and oversee the CLO's schedule, coordinating appointments and meetings across different time zones.
- Arrange both internal and external meetings, handling venue bookings and preparing necessary meeting materials.
- Handle travel arrangements, accommodations, and itineraries for the CLO.
- Assist in prioritising tasks on the CLO's "to-do" list, requiring a solid understanding of legal team functions and business priorities.
- Manage expense reports for the CLO and initiate purchase orders.
- Coordinate personal and professional calendars, ensuring seamless alignment of personal commitments and work obligations.
- Screen and prioritise incoming communications such as emails and calls for the CLO, responding as needed.
- Draft and proofread various legal documents, letters, reports, and other correspondence at the request of the CLO.
- Monitor and respond to external invitations and speaking requests.
Legal Department Support:
- Take charge of third-party suppliers, negotiating subscription rates and managing relationships with entities.
- Assist in document preparation while maintaining confidentiality and meticulous attention to detail.
- Organise and maintain legal files, databases, and records to ensure accurate record-keeping and easy retrieval of information.
- Provide assistance during legal proceedings, ensuring organised and accessible documentation.
- Contribute to the efficient functioning of the legal department by facilitating procurement of office supplies.
- Support in arranging team events, celebrations, and social gatherings.
- Assist with corporate and company secretarial tasks, including AGM preparation, notarisation, foreign company setups, IP/trademark management, and contract execution.
- Maintain the legal department's professional training requirements.
Project Coordination:
- Collaborate with the CLO and other legal team members to facilitate the successful execution of legal projects and initiatives.
- Aid in the preparation of legal reports, presentations, and summaries for executive meetings and board presentations, with a strong focus on PowerPoint skills.
- Assist the CLO in creating budgets, audit reports, and risk reports, demonstrating proficiency in Excel.
Qualifications and Requirements:
- A minimum of 5 years' experience supporting a senior lawyer in a commercial law firm, professional services firm, or in-house legal department is essential.
- Board legal experience is desirable
- Thorough understanding of legal terminology and day-to-day lawyer activities is required.
- Display utmost discretion, confidentiality, and professionalism when handling sensitive personal and business matters.
- Advanced proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint; familiarity with SharePoint is highly advantageous.
- Fluent in English (both verbal and written); knowledge of additional languages is desirable but not mandatory.
- Possess diplomacy, tact, and excellent interpersonal skills.
- Flexibility to be available after regular working hours, though this will not be excessive.
- Maintain a serious approach to work while cultivating a humble attitude. Embrace a low ego mentality.
