SSNAP Coordinator Admin Lead

An exciting opportunity has arisen for an experienced administrator to lead on a Stroke improvement project for the South East London (SEL) Integrated Stroke Delivery Network (ISDN). The SEL ISDN sits within the London network which has links into the national network.
The successful post holder will be the admin lead on a proof-of-concept project aimed at improving the flow of on patients through the Sentinel Stroke National Audit Programme (SSNAP) and ensure maximum capture of data throughout the stroke pathway. They will support the project manager to link in with other Stroke Services in London and Nationally to ensure the optimum model is being used in SEL.
The post holder will need to be a team player, with strong communication skills and be able to work autonomously to achieve the outcomes of the project. They willprovide full administrative support for the SSNAP Coordinator Team and SSNAP inputting teaching across the SEL Stroke Pathway.
The role will support stroke services within SEL to develop and integrate change and improve their ability to use SSNAP data to support long-term development. They will achieve this by working alongside the SEL Rehab Lead for Stroke, SSNAP Coordinator Project Manager, 6-month Stroke Review Project Lead and all parts of the Stroke Pathway from to achieve the project objectives and support innovation and change within stroke services in SEL.
The post holder will work with Project Lead, Hyper Acute Stroke Units, Acute Stroke Units, Community Teams, 6 Month Stroke Review teams in South East London (SEL) and other members of the ISDN on:

Job Summary:
This is a role for a highly organised and committed administrator who will provide support to the South East London (SEL) SSNAP Coordinator Proof of concept project.
The post holder will need to be a team player, with strong communication skills and be able to work autonomously to achieve the outcomes of the project. They willprovide full administrative support for the SSNAP Coordinator Team and SSNAP inputting teaching across the SEL Stroke Pathway.
The post holder will contribute to the smooth running of the SSNAP Coordinator Proof of Concept Project through supporting teams within the Stroke Pathway to locate SSNAP records and move them through the pathway as required. They will be expected to complete SSNAP inputting teaching and support teams with processes and procedures. They will support in the collation of data to enable the Project Manager to report on project progress, success and challenges.

- Understand the specific challenges to prompt and accurate data capture in all parts of the Stroke Pathway in SEL, and help to define the new service, create training resources and processes needed to ensure high quality data inputting and efficient data entry
- Provide and receive complex information, communicate the importance of the project to all members of the ISDN and ICB, negotiate with and motivate teams to ensure the completing of the proof-of-concept project
- To arrange and service meetings, ensuring agendas and associated papers are disseminated in a timely manner ahead of meetings
- To attend all relevant meetings as requested, producing minutes and disseminating information as necessary
- To type and draft where appropriate, correspondence and other documents as required
- To maintain databases as appropriate
- To work closely with all MDT members within the Stroke Pathway, ISDN and external organisations to support a successful completion to the project
- To undertake delegated projects or assignments and support with preparing reports to the ISDN and ICB

- To provide a comprehensive secretarial and administrative support function for the SSNAP Coordinator Team.
- Provide and receive complex information, communicate the importance of the project to all members of the ISDN and ICB, negotiate with and motivate teams to ensure the completing of the proof of concept project.
- To deal with incoming requests via email and/or phone on a daily basis.
- To collate and complete teaching resources and data for all teams across the Stroke Pathway in SEL.
- To arrange and service meetings, ensuring agendas and associated papers are disseminated in a timely manner ahead of meetings.
- To attend all relevant meetings as requested, producing minutes and disseminating information as necessary.
- During the course of meetings with ISDN leads identify any potential and actual risks or issues that may affect the completion of the SSNAP Coordinator proof of concept project and escalate as appropriate.
- To type and draft where appropriate, correspondence and other documents as required, checking all typing for accuracy, spelling and grammar before it is sent
- To monitor stock levels of stationery and equipment and order as required
- To maintain databases as appropriate.
- To manage the diary of the SSNAP Coordinator Project Lead, using independent judgement to make necessary revisions
- To deal with all enquiries in a polite and courteous manner, using tact and discretion, referring enquiries to other staff as necessary and/or responding appropriately to the query. This may require obtaining and sending information in various forms.
- To ensure that efficient and effective systems of communication within SSNAP Coordinator Team, across the Stroke Pathway and external organisations.
- To ensure that confidentiality of information, both oral and written, is maintained at all times.
- To provide audio typing as required.
- To work closely with all MDT members within the Stroke Pathway, ISDN and external organisations to support a successful completion to the project.
- To represent the SSNAP Coordinator Team in a professional manner at all times.
- To undertake delegated projects or assignments and support with preparing reports to the ISDN and ICB.
- Supporting and lead where appropriate on project management activity
- Support in the creation of teaching resources on SSNAP
- Schedule, complete and monitor effectiveness and compliance with SSNAP inputting training across the SEL Stroke pathway.
- To visit all teams in the SEL Stroke pathway at their site as required and directed by the Project Lead
- Pull data from SSNAP to support individual teams and sector feedback.
- Support project manager with data and information required for regular project feedback to key stakeholders.
- Attend face to face meetings/training sessions and site visits across SEL as required.
- To work closely with the Project Manager and finance team to create a fully costed and clinically appropriate business case , taking direction where relevant on specific work
- Implement policies and propose changes to practices, procedures and/or service changes across the SEL Stroke Pathway to ensure the success completion of the project.
- On behalf of the SSNAP Coordinator and 6 Month Stroke Review Service Manager, carry out research/fact finding work to inform current issues/projects.
- To update the SEL core offer and stroke newsletter
- To provide cover for secretarial/administrative duties as necessary during absences and at times of pressure.
- To work autonomously, prioritising own workload, deciding when necessary to seek support from Project Manager and Project Lead.
- To provide general technical support and advice to colleagues across the SEL Stroke Pathway on SSNAP and any databases used by the SSNAP Coordinator Team.
- To deal with staffing requirements, e.g. ensuring that all relevant staff attend SSNAP inputting and data analysis training
- Assist the SSNAP Coordinator Project Manager to identify the most appropriate long-term make-up of the SSNAP Coordinator team.
