Job Description
We have an exciting opportunity for an Executive Assistant to provide support to the Divisional President and Senior Leadership Team, managing complex schedules, heavy diary management and coordinating extensive travel. You will be handling highly confidential and sensitive information, exercising appropriate discretion and work closely with the wider EA team.

Standard security clearance will be required including 3 years UK residency.
This is an office based role in London.
Duties and Responsibilities
- Extensive and heavy diary management across different time zones, maintaining a constantly changing calendar and scheduling appointments, including booking the required resources.
- Managing and filtering heavy inbox – ensuring important and urgent emails are flagged and addressed
- Responding to email enquiries, resolving where possible and re-directing where necessary
- Planning multi-trip travel itineraries and coordinating international business travel and accommodation
- Planning and organising SLT global offsite events within budget
- Obtaining relevant documentation, visas and Covid requirements prior to travel whilst adhering to the expenses policy and processes
- Working with the teams on travel itineraries and agenda ahead of Presidents visit
- Liaising with the teams across different time zones coordinating meetings, reviews, and global town halls within tight deadlines
- Preparation of meeting packs and all presentation and collection of materials as required
- Working closely with the ExCo and Board office
- Covering other EA’s when on leave
- Recording and processing expense claims, having the confidence to question any items that exceed policy
- Processing invoices, raising POs for the management team
- Presenting a professional image when dealing with both internal and external contacts
- Organising lunches/breakfast for President and SLT when required
- Complying with and promoting all relevant legal requirements & Smiths policies and procedures, including business ethics, data protection, Covid guidelines and health & safety
Any other duties deemed reasonable for the role
The Individual
- Solid Executive Assistant experience of 5+ years
- Good understanding of Office Packages, including Microsoft Outlook, Word, and Excel
- Ability to manage conflicting priorities at the same time
- Thrives on being helpful and getting the job done
- Confident and articulate, knows when to push back, flexible in approach
- Positive and approachable
- Previous experience of SAP/Concur an advantage but not essential as training will be given
- Education at degree level is an advantage
