Perinatal Team Administrator

About the team:
The Perinatal Outpatient & Community Mental Health Service accepts referrals from Croydon, Lambeth, Lewisham and Southwark Boroughs, as well as accepting referrals from other Trusts nationally.
The service receives approximately 600 referrals per year. There are several outpatient clinics each week, and an outreach service from Community Perinatal Specialist Clinicians.
An exciting opportunity has arisen for two motivated and organised Perinatal Mental Health Administrators.
About the role:
The post holder will be will be responsible for providing an efficient, effective and well organised administration service to the Southwark Perinatal Community Mental Health Team.
The post holder will provide key duties such as reception cover, processing new referrals, managing outpatient clinics etc., and must have experience of working with confidential information, effective organisation and can demonstrate good communication skills.

Key Responsibilities:
Administrative / Secretarial Support:
1. To provide a comprehensive administrative service to the Perinatal Mental Health Team in an efficient, timely and professional manner.
2. The post will include processing new referrals, distributing service user letters, reports and general correspondence, liaising with service users to book appointments and arrange assessments, diary management of clinical staff, processing data protection requests, assisting the team with maintaining trust data quality targets, ordering stocks and supplies ensuring appropriate use of resources.
3. To be the main point of contact for the service; dealing professionally with telephone enquiries, taking and passing on messages promptly, using initiative to take follow-up actions when appropriate and ensuring calls are forwarded to the team or day co-ordinator effectively.
4. In liaison with the service Business Manager, establish and maintain effective administration systems to support the needs of the multi-disciplinary team. Communicate information on changes and developments in administration systems to members of the multi-disciplinary team.
5. To organise and attend regular team business and review meetings, taking and distributing minutes of these meetings as required.
6. To participate in managing health and safety issues relating to the building, reporting issues to estates and facilities, undertake environmental checks and act as fire warden and health and safety champion (after appropriate training).
General
1. To work as a team member and be familiar with all aspects of work within the Administration Team, providing appropriate cover within wider service Administration Team during periods of absence as required by the Team Leader, Business Manager or Clinical Lead.
2. To deputise in the absence of the Business Manager as required by the Team Leader or Clinical Lead, and to undertake any other reasonable duties as negotiated with the Team Leader, Business Manager or Clinical Lead.
3. To assist with the collection of statistical information required by the Trust, including leading on collecting data for patient satisfaction questionnaires.
4. Deal sensitively with enquires and complaints from service users and their carers in accordance with South London and Maudsley NHS Foundation Trust policies and procedures.
Staff Development
1. To attend regular supervision and appraisal meetings with the Team Leader / Business Manager.
2. To participate in any training and developmental needs as required by the Team Leader / Business Manager.
