ADMINISTRATOR -

Provide full administrative and secretarial support to the Team Managers and Services For Ageing Mental Health Services in line with Trust and local standards using appropriate computer software packages.

Accurately maintain all client data systems in a timely fashion in accordance with Trust and local standards.

Create and maintain client case notes in line with the Trust and local standards.

Maintain and create efficient filing systems as required.

Ensure good communication is maintained between service users and colleagues at all levels.

Make outpatient appointments as required.

Contribute to arranging meetings/CPA reviews in liaison with the CPA office and team.

Experience of RIO, Outlook, Word, and Excel.

The successful candidate will work closely within the multi-disciplinary team, ensuring that effective and efficient administration support is provided.

You must be experienced, dedicated, reliable, proactive, and a flexible individual who is assertive and take the initiative in anticipating the needs of their teams.

You should be able to work autonomously as well as part of a team. Along with being able to demonstrate good verbal and written communication skills.

It is essential that you have experience in minute-taking and using Excel (intermediate level) along with good attention to detail.

Arrange booking of interview rooms as required.

Arrange and attend meetings producing agenda and minutes as required.

Contribute to the ongoing review of the function and performance of the administrative team and supporting systems.

Provide administrative, secretarial and reception cover for other sections of the Division during periods of absence of other administrative staff as and when necessary.

Attend team meetings as required and take minutes when required.

Undertake training as identified in conjunction with the supervision and appraisal system.

Carry out any other duties as appropriate to the grade and as directed by the administration and/or Team Manager.

Some of the key tasks in this role will be:


  • To maintain and submit key performance data within strict timelines

  • Good understanding of RIO/LAS

  • Good knowledge of Word, Excel, Power point and minute taking.

  • To support Business/Team Meetings (preparing agendas, taking and distribution of minutes)To provide support with/lead on audits

  • Procurement

  • General administrative functions
