EA to CCO and Communications Team Assistant Full Time

The Role


We are looking for an Executive Assistant and Communications Team Assistant to work as part of the fast-paced Communications team, providing first line support to our Chief Communications Officer.

In this exciting role, you will manage all aspects of the day-to-day activities of the CCO and will represent them in both internal and external interactions.

In addition, you’ll play a vital role in our club by providing crucial support to colleagues and handling the coordination and management of diaries, organising and preparing the CCO for all meetings, as well as providing broader operational support to the whole Communications team.

Your day-to-day

  • Provide diary management - you will have full scheduling responsibility of our CCO’s diary, understanding to prioritise meetings and engagements to ensure time is used efficiently and direct reports understand the diary movements
  • Manage all admin based tasks - you'll relish the opportunity to manage all admin based tasks for our CCO, such as expenses, holiday tracking, travel arrangements and itineraries for both domestic and international travel
  • Arrange matchday tickets - you will arrange matchday tickets for the team when required and coordinate guests of the CCO in the Directors’ Box or other hospitality areas, creating target lists of contacts we want to host and plan accordingly
  • Support with meeting management - you’ll diligently note take at meetings, ensuring these are accurate and circulated in a timely manner and coordinate, track and proactively follow-up actions from meetings and correspondence, independently and together with the CCO
  • Organise and manage agendas - you will proactively organise and manage the agenda for weekly team catch ups and Leads and Heads Of meetings, and you'll ensure cross-department speakers are invited, briefed and content is prepared
  • Coordinate direct report summaries - you'll provide a summary of key updates from senior leaders for the monthly Executive meeting and coordinate monthly Executive briefing notes from across the communications team
  • Oversee team operations - you will aid significant Communications campaigns with project management support and you'll take the lead on the on coordinating debriefs to help measure and evaluate campaigns

What we are looking for

  • Previous experience in an EA and Team Assistant role - you're equipped with a proven track record of diary and admin management, meeting support and team operations in a fast paced environment
  • History of developing and implementing processes - you've previously worked within a high performing, fast paced Communications, Media or Marketing team to design optimal processes that will ensure a seamless working environment for the team
  • Demonstrable experience in project management - you can confidentially manage and support the delivery of projects that achieve business results and reassess priorities as needed
  • Excellent communications skills - you're easily able to build impactful relationships and influence a diverse range of colleagues
  • Best-in-class attention to detail - you can deliver tasks with skill and urgency without compromising accuracy and quality
  • Adept at multitasking - you back your ability to prioritise your time and work across multiple projects concurrently
  • Collaborative mindset and exceptional team ethic - you possess a real team focus and can become an integral part of the Communications team
  • Forward thinking approach - you’re passionate about your craft and you have the drive to look for continuous development and growth
