The Opportunity:
From the moment you wake up in the morning until you go to bed at night consider the media you consume, the adverts you see, the apps you use, the websites you browse and almost all of the shopping you do online throughout the day. We’re seeking an proactive, detail-oriented and adaptable Senior Executive Assistant to take on a varied and dynamic role supporting our International Marketing VP. We’re looking for somebody who can excel at an operational level whilst also taking a more strategic view and contributing to broader projects and initiatives as needed. The role will be London based with hybrid working.

What you’ll do:
Calendar and Schedule Management:
  • Organizing and optimizing daily, weekly and monthly schedules
  • Managing appointments, meetings and events
  • Prioritising meetings to ensure effective use of the executive’s time
Communication Management:
  • Screening and responding to emails, calls and messages
  • Drafting and editing correspondence on behalf of the executive
  • Acting as a gatekeeper and liaison wit internal teams and external partners
Meeting Coordination:
  • Scheduling and setting agenda for meetings
  • Taking and distributing detailed meeting notes
  • Following up on action items and deadlines
Travel Management:
  • Coordinating travel arrangements (flights, hotels, transportation)
  • Managing travel itineraries and making adjustments as required
  • Handing visa requirements or travel documents
  • Handle visits by executives from other regions ensuring travel and itineraries are organised and efficient
Project and Task Management:
  • Tracking deadlines and project progress
  • Managing and delegating tasks as needed
  • Assisting with preparation of reports and presentations
Financial Management:
  • Processing expense reports
  • Tracking and approving invoices
Event Planning:
  • Organizing internal or external events and celebrations
  • Managing logistics for team offsites and events
Executive-Level Discretion:
  • Maintain strict confidentiality
  • Anticipating the executive’s needs and preferences
  • Acting as a sounding board or trusted advisor for decisions
Problem Solving and Crisis Management:
  • Handling last minute changes or emergencies calmly
  • Acting quickly to find solutions and adapt plans
  • Keeping the executive informed of issues and resolutions
Office Operations:
  • Place orders for supplies including IT equipment, verifying receipt of supplies.
  • Managing office space or setting up virtual workplaces
  • Coordination with IT or facilities for support issues
What you’ll need to succeed:
  • Extensive experience is a similar role supporting a pan regional leader within an international, dynamic environment.
  • Evidence of cross regional collaboration and partner relationships.
  • Excellent communication skills, both written and verbal.
  • A forward-thinking mindset, always seeking to plan ahead.
  • Exceptional scheduling abilities and strong familiarity with Microsoft Office tools.
  • Time management skills with excellent planning and organisational capabilities and a keen eye for the details.
  • A naturally collaborative teammate that is proactive and solution minded.
  • A complete confidential approach to work and treatment of information received as part of the role.
  • Project Management skills and experience will be desirable.
