Oakdene Finishes Ltd have an opportunity for an experienced Bookkeeper to join our team. Reporting directly into the Business Manager, this is an office based role, working out of our small office in Farnborough Village. 25-30 hours per week which can be worked flexibly around the right candidate. We're happy to accommodate school runs or other caring responsibilities.

We're a family business, with a family feel but a professional outlook. As the only finance specialist in the business this is a key role and you will be be accountable for the efficient and effective operation of our entire financial function.

We provide high quality specialist finishing (Painting, Decorating and French Polishing mainly). We're one of the largest Decorating contractors in London and you'll have heard of a lot of the places we work in - The Savoy, The War Office, Fortnum and Masons. Who are you?

  • This is an important role that will be based at our offices in Farnborough village
  • Proven experience as a bookkeeper, ideally within the construction industry
  • This is a stand alone finance role, you have significant experience running all areas of finance independently
  • AAT qualification or equivalent experience is preferred
  • Strong knowledge of accounting principles and procedures
  • Proficiency in QuickBooks is essential
  • Familiarity with VAT, CIS, and payroll processing
  • Excellent attention to detail and accuracy
  • Previous experience within the construction industry is preferred but not essential
  • Because we run a small team, you'll need to be willing to help out with covering other people's roles and if you have some time on your hands, get stuck into whatever needs doing. We're a collaborative, friendly team that help each other

Day to day responsibilities

Accounts Receivable:

  • Manage customer invoicing and ensure timely collection of payments
  • Record and reconcile customer payments in QuickBooks
  • Follow up on outstanding invoices and resolve any billing disputes

Accounts Payable:

  • Process supplier invoices, ensuring accuracy and proper coding
  • Prepare and execute payments to suppliers in a timely manner
  • Reconcile supplier statements and resolve any discrepancies

VAT and CIS Scheme Compliance:

  • Prepare and submit accurate VAT returns in accordance with HMRC requirements
  • Ensure compliance with the Construction Industry Scheme (CIS), including verifying subcontractors, preparing CIS returns, and making the necessary deductions.
  • Maintain up-to-date knowledge of VAT and CIS regulations and implement changes as required.
  • Management of the CITB Levy.

Payroll:

  • Process payroll for employees, including calculating wages, deductions, and statutory payments.
  • Ensure compliance with PAYE, National Insurance, and pension contributions.
  • Prepare and submit RTI (Real-Time Information) reports to HMRC.

Financial Reporting:

  • Prepare monthly, quarterly, and annual financial reports, including profit and loss statements, balance sheets, and cash flow forecasts
  • Assist in budgeting and forecasting activities
  • Provide financial analysis and insights to support business decisions

General Ledger Maintenance:

  • Maintain accurate and up-to-date general ledger records in QuickBooks
  • Perform regular reconciliations of bank accounts, credit card statements, and other financial accounts

Audit and Compliance:

  • Assist with the preparation of documents for external audits
  • Ensure compliance with all relevant financial regulations and internal policies

Paying up to £40,000 salary, full time equivalent. Will vary depending on hours worked.
