Governance Secretary

The Governance team are the key contact for the Client, maintaining oversight of Governance and reporting and providing a consistent approach to client delivery. We promote the partnership working approach, developing the inclusive relationship with the Client. The Governance Secretary will provide secretarial, clerical and administrative support to the Client in respect of the Teachers’ Pensions Governance framework, provide performance reporting and maintain updates of risks, issues and actions.

Job Description:

Key responsibilities:

  • Provide secretarial support for the Client in relation to the Teachers’ Pensions Governance framework.
  • Schedule meetings and ensure all required equipment and resources are available, whilst also taking minutes of the meetings, arrange Chair approval and distribute to meeting attendees in a timely manner.
  • Compile agendas & meeting documentation and circulate to attendees in a timely manner.
  • Retain oversight of actions and governance deliverables to ensure that they are dealt with in a timely, consistent manner.
  • Provide reminders to ensure that actions and reports/MI/data submissions due from the Client Delivery Team are submitted on time as agreed and to make the Head of Governance & Risk is aware when deadlines are missed.
  • Co-ordinate the annual testing for the NAO audit, compiling responses to audit queries, audit testing and walkthroughs with the business.
  • Train & align yourselves with the team and other dependent business partners ensuring optimum governance & administration processes are imbedded & followed.
  • Demonstrate strategic knowledge of the clients and stakeholders – what their business objectives are, key issues, targets etc & to display a genuine interest in their business, have meaningful conversations and deliver appropriate solutions.

  • Monthly reporting & cross-checking figurework.

Applicants must be able to demonstrate the following skills:

  • Experience of working in an administrative or secretariat capacity with exposure to board level interaction
  • Knowledge or experience of business and committee procedures
  • Proficient in the use of MS Office packages
  • Willingness to devote the necessary time and effort
  • Good, independent judgement
  • Ability to think in analytically
  • Willingness to speak their mind and listen to others
  • Self-driven, results orientated with a positive outlook and able to work independently with minimal supervision
  • Organisational ability
  • Experience of minute taking
  • Skilled communicator both verbally and in writing to be able to influence and engage with a wide range of stakeholders.
