Finance Manager

About the Role
In this new post, you will be responsible for our day-to-day finances and business administration, building the structures and processes that will ensure our business is solidified with strong finance and accounting foundations.
We are looking for a methodical and highly analytical professional to manage our company’s financial processes. Working closely with Operations Manager, you will have a significant impact on how efficiently we run as an organisation.
This position is available only in the UK.
Your responsibilities:
Responsibilities include, but are not limited to:
Finance & accounting processes
- Overseeing company’s cash flow.
- Managing day-to-day financial activities, such as invoicing, billing, credit control, budget and on-line banking, including reconciling discrepancies and dealing with invoice queries/payment.
- Ensuring payments are processed promptly and within authorised limits.
- Reconciling and analysing card and petty cash payments.
- Overseeing accounts payable and receivable.
- Updating financial records/spreadsheets.
- Participating in finance meetings and tracking actions.
- Overseeing tax compliance activities, including VAT returns.
- Support to audits.
- Liaising with company accountants.
Financial project coordination support
- Supporting project leads internally to build and manage budgets that align with project goals and timelines.
- Participating in project planning meetings and tracking of financial decisions and actions
- Support in tracking company spendings across company budgets.
- Prepare monthly and quarterly financial reporting to clients
- Monitoring staff time tracking compliance and time tracking system, ensuring all staff accurately record their work hours in the system.
- Supporting and maintaining client relationships
- Expense management and supporting staff on procedures for expense reporting.
- Respond to ad hoc requests.
Grant / Sub-award management
- Oversee and manage the financial aspects of subawards or subgrants, ensuring compliance with donor/funder requirements and organizational policies.
- Provide financial oversight to subgrantees, including ensuring adherence to financial regulations.
- Track and report on subaward or subgrant expenditures, ensuring timely and accurate financial reporting to donors.
- Ensure proper documentation and financial controls are in place for all subawards or subgrants, mitigating risks and ensuring transparency.
Payroll processes
- Oversee processing monthly payroll, including sharing payslips with employees, pensions submissions and, PAYE payments.
- Managing monthly salary transfers to the company’s employees and internal consultants, including all related deductions
- Set-up of newly employed or making changes for the existing staff in the financial software (Xero) and pensions scheme (NEST) as per needs (incl. starter checklist collection, starter letter preparation and send-out, point of contact for opt-in/out process, etc.)
- Every-day HR tasks, such as employees' queries/checks (e.g., tax code status, employment confirmation, directors’ salary threshold…), pension re-enrolment etc.
MUST HAVE requirements:
Three to five years of experience in the international development sector, including budgeting, financial reporting and invoicing for clients such as FCDO, UN bodies, and other NGOs/philanthropies
Experience with procurement and accounts, including office management, book-keeping
Knowledge of and experience with UK financial compliance regulations, employment regulations, and company processes.
Experience with Xero accounting software (or similar).
