PA to Group External Communications Director

Hybrid: up to 3 days WFH
Full time: Permanent

The External Communications team. You would be joining a team of nine External Communicators who are responsible for protecting and promoting Bupa and our Group reputation. This team are tasked with showcasing the progress of our strategic priorities and supporting the PR & communications of Brand Caigns with our external audiences and management of information and content on Bupa.com. This team will also co-ordinate any external communications required in the event of a group wide crisis or incident. The team are part of the Group Brand and External Communications team led by Chief Brand and External Communications Officer, Zoe Vafadari.
The role
In this role you will provide PA support to the Group Director of External Communications in the Group Brand & External Communications team at the Bupa group head office (1 Angel Court, Bank, London, EC2R 7HJ). You will also provide administrative support to the wider External Communications team, enabling them to operate at the maximum levels of performance. You will give PA services to the Director including any diary management, travel arrangements, creating agendas, and preparing relevant material for internal and external meetings. You'll work closely with the other two PA's in the Group Brand & External Communications team and need a strong supportive relationship with them and you will cover each other from time to time for exle during periods of annual leave.
You'll help us make health happen by:
- Collating and submitting monthly expenses, and reconciling Procurement card purchases
- Ensuring the management of multiple media subscriptions
- Raising PO's in the External Communications cost centre and having sight of the budget, maintaining and managing the PO tracker with Finance
- Checking PO's for accurate records of expenditure, ensuring receipts are proceed in a timely manner and proactively engaging with team members to avoid delays
- Completing the Transfers and Accruals monthly spreadsheet
- Arrange travel for your director with our online booking tool
- Helping with arranging visitors to visit to the office for external meetings
- Ordering equipment set up for new starters/leavers
- Arranging team events, finding venues etc
- Setting up new suppliers on the E-Purchasing system
- Provide all administrative support to the Director for meetings
- Working collaboratively with the PA's within the team and beyond
- Cover other PA's in the team occasionally (during annual leave etc)
Key Skills / Qualifications needed for this role.
- Excellent administration and organisational skills
- Previous experience supporting at Director level
- Proficient user of Microsoft Teams and full Microsoft suite including Word, Excel, and PowerPoint
- Good communication skills including good written English and proof reading
- Able to juggle a busy diary that can have last minute changes in a fast-paced team
- Able to prioritise workload effectively
- Able to work proactively, take initiative and remain calm under pressure
- Confident to oversee budgets and PO's
- Excellent attention to detail
- Proactive at managing issues and finding solutions
- Have a positive can-do attitude and enjoy being part of a team
- Act as an ambassador for the Group Brand & External Communications function
- Able to build strong relationships as your work will involve liaising with a wide network of people at all levels and in various locations throughout Bupa, including senior stakeholders
