Board Assistant

ABOUT THE ROLE

Reporting into the Finance Director, you will be responsible to provide comprehensive administrative support for our executive team within SES. Playing a crucial role in ensuring the smooth operation of our executive engagements, contributing to the overall success as we transition into One SES.


As our Board Assistant, some of your key responsibilities will include:


  • Prepare and distribute agendas, presentations, and any other relevant material for meetings.
  • Create and maintain organisational documents, reports, and presentations with a high level of accuracy and attention to detail
  • Manage calendars, including scheduling and coordinating meetings / other.
  • Conduct research and gather information to support executives in decision making processes
  • Maintain confidentiality and handle sensitive information with discretion
  • Proactively identify process improvements and implement efficient administrative practices
  • Accurately record discussions and decisions during leadership meetings. Ensuring follow up tasks are distributed to relevant personnel.
  • Continually maintain accurate records, databases and filing systems with all minutes, presentations, and documents
  • Facilitate communication and coordination between among various departments or team. Serving as a liaison between executive leadership and staff
  • Assist with the planning and coordination of specialist projects
  • Maintain records of spend and budgets associated with projects and events

We are seeking a candidate who is highly proficient in Microsoft Office, showcasing expertise in Word, Excel, PowerPoint, and Outlook, and who has a proven track record of effectively minuting meetings, ensuring accurate documentation of discussions and resolutions. The ideal candidate should excel in communicating across all levels of the business, as well as with external advisors and agencies, fostering clear and productive interactions. They must be a highly skilled multitasker, capable of prioritising tasks and working efficiently within tight deadlines. Critical thinking, the ability to work independently, and strategic problem-solving skills are essential, as is the ability to tackle challenges and devise effective solutions. Additionally, we value confident interpersonal skills and the ability to lead with honesty and integrity.
